This Privacy Policy explains how Sub Zero Covers, LLC (Sub Zero Covers, “we,” “us,” or “our”) collects, uses, and protects information when you visit subzerocovers.comor use our distributor portal (together, the “Services”). Our Services are intended for businesses — distributors, contractors, and resellers — not for consumer sales.
Information we collect
We collect the following categories of information:
- Account & business information — name, email, phone, company name, billing and shipping addresses, resale/tax-exemption documentation, and the role of the person using a distributor account.
- Order & invoice information — quotes, purchase orders, line items, pricing, payment terms, and invoice and payment status.
- Payment information — when you pay an invoice, payments are processed by Intuit through QuickBooks Payments. We do not store full card numbers or full bank account numbers on our systems; we retain only non-sensitive references (such as a tokenized payment-method reference, the last four digits, and the payment status) needed to manage your orders.
- Usage & device information — log data, approximate location derived from IP address, browser type, and basic analytics about how the Services are used.
How we use information
- Create and manage distributor accounts and authenticate logins.
- Process quotes, purchase orders, invoices, and payments, and fulfill and ship orders.
- Send transactional messages — order updates, invoices, payment receipts, and account notices.
- Provide support and respond to your requests.
- Maintain security, prevent fraud, and comply with legal and tax obligations.
How we share information
We do not sell your personal information. We share information only with service providers that help us operate the Services, and only as needed:
- Intuit / QuickBooks & QuickBooks Payments — to create invoices and process card and bank (eCheck/ACH) payments.
- Shopify — for catalog, order, and fulfillment operations.
- Email and hosting providers — to deliver transactional email and run the Services.
- Legal & safety — when required by law, to enforce our agreements, or to protect rights, property, or safety.
Data retention
We keep information for as long as your account is active and as needed to provide the Services, then retain records as required for tax, accounting, legal, and fraud-prevention purposes.
Security
We use administrative and technical safeguards to protect information, including encryption of sensitive credentials at rest and access controls. Payment credentials are handled by Intuit under its own security and PCI obligations. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your choices
You may request access to, correction of, or deletion of your account information, subject to records we must retain by law. To make a request, contact us using the details below. You can opt out of non-transactional email at any time; we still need to send service messages related to your orders and account.
Children
The Services are for business use and are not directed to children under 16. We do not knowingly collect information from children.
Changes to this policy
We may update this Privacy Policy from time to time. We will revise the “Last updated” date above when we do, and material changes will be communicated through the Services.
